Location: 115 Delhi Street, Guelph, ON

Position Summary:

The Central Staffing and Scheduling role coordinates the scheduling, timekeeping and staffing functions of UKG Kronos by:  

  • Providing day to day support for management staff by creating and maintaining unit schedules
  • Liaising with HR and operating departments to ensure systems meet/exceed business requirements.
  • Forward planning/design of application based on contract changes/operational decisions
  • Application support including configuration changes, upgrades, etc.
  • Scheduling support for immediate staff needs across the organization

This position will report to the Director Health Information, Decision Support and Chief Privacy Officer. The team will work closely with the payroll department and support ongoing operations/iterations of the Kronos application.

The Central Staffing and Scheduling Administrator is:

  • Detail focused and able to solve complex problems related to time entry and configuration
  • Has a keen eye for determining system adjustments and works easily with subject matter experts to obtain the necessary details to make those changes.

Qualifications, Experience, Skills and Abilities:

  • Successful completion of post-secondary education at either the college or university level
  • CPA Payroll Certification Course an asset
  • Demonstrated advanced ability to use UKG Kronos scheduling software
  • Previous recent related experience preferred
  • Working knowledge of Guelph General Hospital collective agreements preferred
  • Experience in development of policies & procedures  
  • Demonstrated proficient communication skills (both written and verbal)
  • Effective organizational skills involving time management, prioritization and the ability to problem solve while ensuring attention to detail
  • Demonstrated flexibility, adaptability and ability to manage change in a dynamic environment
  • Knowledge of office administration procedures; shift and schedule administration; and payroll data processing
  • Prior Meditech and UKG Kronos Workforce Dimensions system experience 
  • Maintaining a thorough understanding of human resource related legislation, Hospital collective agreements and Hospital policies and procedures
  • Demonstrated advanced skills and knowledge in Outlook calendar management, creating and editing Word and Adobe Acrobat documents, preparing Excel spreadsheets and PowerPoint presentations
  • Knowledge of and ability to comply with policies, procedures, collective agreements, legislation, and payroll regulations
  • Exceptional interpersonal and communication skills, both verbal and written, demonstrating tact and diplomacy
  • Strong organizational and time management skills, with strong attention to detail
  • Ability to deal with multiple tasks and deadlines
  • Demonstrated ability to work independently and in a self-directed manner as well as collaboratively within a team in a fast-paced and ever-changing environment
  • Demonstrated strong critical thinking, problem solving and decision-making skills
  • Demonstrates commitment to continued professional and personal growth and development through Continuing Education Programs and Self-directed learning opportunities
  • Demonstrated commitment to excellent customer service when interacting with all staff colleagues
